South African tax invoices: common questions

What must a South African tax invoice include?
SARS guidance commonly cites these elements for a full tax invoice: the words "Tax Invoice" (or "VAT Invoice"/"Invoice"), the supplier's name, address and VAT registration number, the recipient's details (including their VAT number for invoices over R5,000), a unique serialised number and date, a description and quantity of the goods or services, and the amounts: value excluding VAT, the VAT charged, and the VAT-inclusive total. This template labels and prints all of them. Always confirm current requirements against SARS directly at sars.gov.za; this page is general guidance, not tax advice.
What is the R5,000 rule for abridged tax invoices?
Per commonly cited SARS guidance, for supplies of R5,000 or less a vendor may issue an abridged tax invoice, which does not need the recipient's details. Between R50 and R5,000 an abridged invoice is generally sufficient; above R5,000 a full tax invoice with the recipient's name, address and VAT number (if registered) is required; and for amounts under R50 no tax invoice is needed at all (keep the till slip or receipt). When in doubt, issue a full tax invoice; it is valid at any amount. Confirm the current thresholds at sars.gov.za.
Can I use this template if I am not VAT registered?
Yes, and you must NOT charge VAT if you are not a registered vendor. Untick the "registered to charge VAT" box: the document then prints as a plain "Invoice" with no VAT line, which is the correct format for non-vendors. Only businesses registered for VAT with SARS may issue a tax invoice and charge the 15% VAT.
Does the template handle EFT banking details?
Yes. Most South African clients pay by EFT, so the template has a banking-details block: add your bank, account number and branch code and they print in their own section on the PDF.
Is this South African invoice template really free?
